Adding Video to Your SOPs
Written SOPs are great—but video takes them to the next level.
Here’s how:
- Record the Process: Show exactly how to operate a machine or complete a task, using your shop’s settings and best practices.
- Host It Online: Upload the video to YouTube as “unlisted” (only people with the link can view) or store it in Google Drive.
- Link It to a QR Code: This is where the magic happens.
QR Codes = Instant Access
Once your video is hosted, create a QR code for that link (try QRcodemonkey.com—it’s free and easy).
Then print the QR code and stick it right on the machine.
Example: Got an auto coater?
- Record a video showing how to turn it on, set it up with your shop’s coating settings, and shut it down properly.
- Post the QR code on the auto coater itself.
- Now, any team member can scan it for a quick refresher—no chasing down a supervisor.

Keep Written SOPs Too
Videos are great for quick reference, but written SOPs still have their place. You can:
- Link them in the same QR code as the video
- Keep them in a shared folder
- Store a printed copy in a shop binder for easy access
There’s no one “right” way—many shops use both.
